Privacy Policy
The short version
- We collect what you type into Checkup, because that's what powers your reminders.
- No ads, no third-party analytics, and we never sell your data.
- Your device calendar is read on your phone only — event details never reach our servers.
- You can delete your data at any time.
Checkup ("Checkup", "we", "us"), made by Redbud Software LLC, is an app that reminds you to book recurring appointments for your household — people, pets, home, and vehicles. This policy explains what information we collect, how we use it, and the choices you have. It applies to the Checkup mobile apps and to trycheckup.app. Questions any time: hello@trycheckup.app.
What Checkup is (and isn't)
Checkup tracks that an appointment type is due — "Sam's annual physical, last done March 2025" — so it can nudge you to book the next one. It is a reminder tool, not a medical record, a patient portal, or a healthcare provider, and we are not a "covered entity" under HIPAA. We ask only for appointment types and dates; please don't enter diagnoses, test results, or other health details the app doesn't ask for.
Information you give us
- Account info. If you create an account, we receive your email address (and, with Apple or Google sign-in, your name and email as shared by that provider). Sign-in is handled by our authentication provider, Clerk. You can also use Checkup as a guest with no account at all — in that case your data is keyed to a random credential stored on your device.
- Your household. The members you add and the details you choose to give them: names or nicknames, a pet's species, a home's type and whether you own or rent, a vehicle's make, model, and year.
- Reminders and dates. Which appointment types you track for each member, when they were last done, when they're booked for, and how often you want to be nudged.
- Providers you save. Your address book of practices, vets, and shops — names, phone numbers, addresses.
- Booking details. If you ask us to book an appointment for you, we collect what a person needs to make the call: a callback phone number, your home's address for home services, your vehicle's details for auto work, and the time windows you'd like.
- Notification settings. Your channel choices, quiet hours, and — if you add one — a partner's email address to CC on reminders. Please only add an email with that person's OK; they can stop the emails with one tap on any of them.
- Messages you send us, like support emails.
Your device calendar stays on your device
When you use "Use my calendar" to pick appointment windows, Checkup reads your calendar on the phone only to compute free/busy locally and suggest conflict-free times. Your events, their titles, and their details are never uploaded, logged, or seen by us. The only thing sent to our servers is the list of time windows you choose.
Vet record scanning
If you photograph a pet's vaccine record, the image is sent to our server and read by an AI model (Anthropic's Claude, via API) to suggest dates and care items. The image and extracted text are processed in memory and never stored or logged — the only thing saved is the rows you review and approve. Under our API agreement, Anthropic does not use this data to train its models. Scanning is available for pet records only.
Information collected automatically
Our servers keep standard technical logs (IP address, timestamps, request paths) for security and debugging, and we store a push-notification token for your device if you turn push on. The mobile app contains no third-party advertising or analytics SDKs. The marketing website sets no tracking cookies.
How we use information
- To run the service: keep your schedule, compute what's due, sync across your devices.
- To send the reminders and updates you've turned on — push, email, or text.
- To book appointments you've asked us to book (see sharing, below).
- To answer support requests and keep the service secure.
We don't use your information for advertising, and we don't sell it — to anyone, ever.
When we share information
- Providers you ask us to call. When you request concierge booking, we share with that provider only what's needed to book: the member's name, the service needed, relevant details (your pet's species, your vehicle, your address for home services), and your preferred times or callback number.
- Service providers who run Checkup for us, under contracts that limit them to working on our behalf: Clerk (sign-in), Railway (hosting), Resend (email delivery), Expo (push notifications), Twilio (phone calls and text messages), Anthropic (record scanning, above). When you search for a provider to add, your search text goes to the public NPPES registry (for medical practices) or Google Places (for vets and local businesses) to fetch results.
- If the law requires it, or to protect the rights, safety, and security of Checkup and its users.
- If Checkup changes hands (a merger or acquisition), your data would transfer under this same policy, and we'd tell you first.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Phone numbers collected for text messaging, and your consent to receive texts, are used only to send you the messages you signed up for — see our SMS terms.
About children
Checkup is for adults and teens 13 and up; we don't knowingly collect information from children under 13 directly. As a parent, you can of course add your kids as household members to track their checkups — that information is part of your account, you control it, and it's covered by everything in this policy.
Retention and deletion
We keep your data while your account is active. Delete individual members, reminders, or providers in the app at any time; to delete your entire account and its data, use the delete option in Settings or email hello@trycheckup.app and we'll take care of it promptly. Backups age out on a rolling basis afterward.
Your choices and rights
- Every notification channel is opt-in and separately controllable: turn off push in Settings, unsubscribe from email with the link in any message, stop texts by replying STOP.
- You can view and edit everything you've entered directly in the app.
- You can request a copy of your data, or its deletion, by emailing us.
- Depending on where you live, you may have additional legal rights (access, correction, deletion, portability). We honor them regardless of where you live — just email us. We do not sell personal information or share it for cross-context behavioral advertising, so there's nothing to opt out of on that front.
Security
Data is encrypted in transit, stored with access controls, and reachable only by the small set of systems and people that need it — for example, our booking agents see only the details of the tickets they're working.
Changes to this policy
If we make meaningful changes, we'll update the date above and let you know in the app or by email before the changes take effect.
